Frequently Asked Questions
Everything prospective customers ask us before signing up.
What exactly is BayQuote?
Quoting software for landscaping and hardscaping contractors. You take a couple of site photos and jot a quick description, AI drafts the line items, and you send a professional quote your customer can accept from their phone, often before you've left the job site.
How is the price on a quote actually calculated?
You set your own rates in your price book: cost per square foot, per linear foot, per job, however you already price work. When you quote a job, AI estimates the scope and quantities from your photos and description, then matches them to your price book rates. The AI never invents a dollar amount. Every price traces back to a rate you set, and you can edit anything before it's sent.
Do I need to already have a price list ready?
No. You can build your price book from scratch inside BayQuote, or if you already have one on paper or in a spreadsheet, use the built-in import tool. Take a photo or upload the file and it drafts price book entries for you to review.
How much does it cost?
Nothing right now. BayQuote is currently free to use through the Founding Feedback Program — full access, in exchange for an honest check-in about once a week. We're not running the normal paid plan while the program is open.
Is there a contract or long-term commitment?
No. You can stop using BayQuote or leave the Founding Feedback Program whenever you want — nothing you've built gets deleted.
Can my crew use it too, or just me?
Invite team members by email from Settings. Everyone gets their own login under your business, sharing the same price book, quotes, and customers.
Does BayQuote work in Spanish?
Yes, in two separate ways. Your team can run the app itself in English or Spanish. Independently, you can send any individual quote to a customer in English, Spanish, Vietnamese, Tagalog, or Chinese: whatever language your customer needs, regardless of what language your team uses.
How does my customer actually accept a quote?
They get a link by email (with a PDF attached) and open a page where they can review and accept with one tap. No printing, no account or login required on their end.
Can I collect a deposit or payment through BayQuote?
Yes. Connect your bank account via Stripe once in Business Settings, then turn on a deposit (or full payment) for any quote when you send it. Your customer pays by card right on the accept page, and the money goes straight to your account. BayQuote takes zero cut, you just pay Stripe's standard processing fee.
Is my business's data kept separate from other businesses on BayQuote?
Yes. Every business's price book, quotes, and customers are fully separated from every other business. No account can see another's data.
Do I need to be tech-savvy to set this up?
If you can take a photo and fill out a form, you can use BayQuote. Setting up your price book and business info takes a few minutes, and there's an in-app guide that walks through everything once you're signed up.
I already use Jobber, Housecall Pro, or something similar. Does BayQuote work with that?
BayQuote doesn't try to plug into those platforms since their quoting is a closed, native part of the system. What it does instead: every quote can be downloaded as a plain CSV file with the customer info, line items, and totals, something you can open in literally any other tool. Some contractors use BayQuote just for the quoting step (photo-to-quote, multi-language, one flat price) and keep using their existing platform for everything else.
